PROJECT COORDINATOR AT CANTARA

Essential Job Function
Project Coordinator is responsible for facilitating the timely and accurate delivery of Project Operations work product.

Duties & Responsibilities
In compliance with Company policies, procedures, standards, guidelines as well as applicable federal, state, and local law, codes and regulations, the Project Coordinator shall excel in the following areas:

Client Relations/Satisfaction
Posses EXCELLENT people skills and maintain a high reputation for the company including; communicating with customer, customer’s agents, general contractor, and/or other trade contractors to ensure that all necessary information is communicated to support favorable and timely completion

Project Administration

  • Manage collection of information during handoff between Sales and Project Operations

  • Track external project milestones and keep the project team up to date on changes and upcoming deadlines

  • Collect and organize project tasks by keeping close communication with Project Operations team members

  • Ensure timely completion of Cantara’s interdepartmental project tasks through delegation and tracking when needed

  • Develop and maintain electronic project info, i.e. project pictures, hours and issues docs, etc.

  • Update field project folders with up to date information

  • Update field plan sets with new sheets released from the Engineering Department

  • Assist field technicians in designing and sourcing custom solutions for installation challenges covered under Miscellaneous Materials

  • Work closely with the Director of Field Operations to maintain Cantara’s overall project GANTT chart with up to date information from the field

  • Monitor hours used vs. hours estimated by project and keep the Project Operations and Programming teams updated on status

  • Create deliverable manual binders at project close

  • Initiate and facilitate transfer of information to the Client Services Department at the close of a project

Schedule

  • Stay up to date with the Director of Field Operations to fully understand project status and scheduling requirements

  • Maintain the Project Operations team schedule to best achieve department productivity goals and meet external construction deadlines

  • Sync project schedules with the Programming Department to align onsite visits

  • Coordinate with the Client Services Department to share support personnel as needed or available

  • Set and confirm appointments with closed work sites as necessary

  • Review and verify accuracy of Project Operations personnel time cards before submitting to Cantara Administration

Duties & Responsibilities (continued)

Equipment, Materials, and Warehousing

  • Assist the Director of Field Operations in requesting, tracking, and ensuring arrival of project equipment and materials prior to the scheduled installation date

  • Verify received project equipment is correctly documented/stickered

  • Organize and maintain warehouse project equipment storage

  • Stage equipment and materials needed for scheduled work prior to the appointment

  • Maintain accurate records of equipment delivered to work sites

  • Manage procurement and organization of stocked installation materials and small parts

  • Oversee Project Operations department personnel to maintain and organize warehouse and Lab areas

Fleet and Tool Maintenance

  • Oversee and maintain internal vehicle maintenance documentation

  • Facilitate needed fleet service and maintenance

  • Manage fleet detailer and schedule

  • Coordinate repair of Cantara owned tools when needed

  • Coordinate the purchase of Cantara owned or replenished consumables, i.e. drill bits and flush cutters

  • Coordinate the purchase of new Cantara owned tools at the direction of the Director of Field Operations

Experience / Education / Licensure

  • High School diploma, required

  • Valid California driver’s license

  • Literacy in Microsoft Office (Word, Excel, Outlook)

  • Familiarity with Apple and Microsoft operating systems and their mobile counterparts

Work Environment
Job duties are performed in the Company’s offices/warehouse as well as various jobsite locations throughout Southern California.

Physical Requirements
Ability to safely:

  • Operate a motor vehicle

  • Operate construction tools including drills, reciprocating saws, basic hand tools, various specialty Audio/Visual hand tools, and ladders in a safe manner in accordance to OSHA regulation

  • Stand or walk 20% and sit 80% of the time

  • Lift and carry up to 50 lbs for a distance of up to 30 feet

  • Visually distinguish between different colors

  • Detect and retrieve messages over the phone

  • Bend, reach and retrieve filing

  • Working at desk using computer (typing and mousing) 70% of the time; roll, unroll, and move blueprints weighing up to 50 lbs. 10% of the time

Work Schedule
40 to 50 hours per week as required to maintain projects with a favorable outcome. Weekends and after hours meetings may be required by clients or other trades.
